RMM RFP template and requirements checklist
Compare RMM vendors against one written scope instead of mismatched demos. Ask every finalist for the same product, security, implementation, pricing, and exit evidence—then verify the critical answers on one controlled endpoint.

Keep narrative answers, plan limits, cited documents, and pilot evidence separate. A sales claim can start a question; it cannot close a requirement.
1. Scope, tenancy, and endpoint identity
State the organizations, sites, users, technicians, endpoint classes, operating systems, and expected growth the vendor must support. Require evidence that device identity stays stable through reinstall, rename, imaging, and ownership changes.
- Separate required, preferred, future, and out-of-scope capabilities.
- Ask how customer and site boundaries are enforced in every workflow.
- Keep offline, stale, unsupported, and unknown devices in the reporting denominator.
2. Security and privileged access
Treat an RMM as persistent privileged access, not ordinary SaaS. Ask for verifiable controls around authentication, authorization, tenant isolation, agent signing, software delivery, secrets, audit history, vulnerability handling, and incident notification.
- Require MFA, least-privilege roles, session controls, and technician-action evidence.
- Ask which security controls are included in the quoted plan rather than sold as add-ons.
- Request a documented vulnerability-disclosure and security-incident process.
3. Monitoring, alerting, and service-desk handoff
Define the health signals, evaluation intervals, alert state changes, maintenance behavior, deduplication, routing, escalation, acknowledgement, and closure evidence needed to operate the service.
- Test one real alert from failure through ticket or accountable owner to verified recovery.
- Require alert-history retention and an explanation of missing or delayed telemetry.
- Separate maintenance suppression from collection failure and security visibility.
4. Patching, automation, and remote support
Describe the exact operating systems, update classes, third-party applications, deployment rings, restart controls, script engines, approval gates, output capture, remote-session controls, and rollback expectations.
- Ask the vendor to mark every platform and workflow as available, limited, preview, planned, or unavailable.
- Require before-and-after evidence for privileged actions and patch outcomes.
- Test failure, cancellation, timeout, offline, and partial-success paths—not only the happy path.
5. Implementation, support, and measurable acceptance
Turn onboarding promises into an implementation plan with owners, dependencies, training, migration, pilot scope, escalation paths, response targets, acceptance evidence, and stop conditions.
- Begin with one noncritical endpoint and a written expand-or-remove decision.
- Name the support channel and response expectation for security and production blockers.
- Do not accept 'configured' as proof that an endpoint workflow works end to end.
6. Complete price, contract, data, and exit
Request a normalized quote that identifies base fees, endpoint or technician units, minimums, included modules, add-ons, implementation, support, storage, overages, taxes, term, renewal, price changes, and termination obligations.
- Price the same fleet, technicians, capabilities, support level, and contract term for every finalist.
- Require usable exports for devices, customers, policies, scripts, tickets, reports, and audit evidence.
- Test agent removal, credential revocation, retained data, export delivery, and post-termination access.

What should an RMM RFP include?
An RMM RFP should define fleet and tenancy scope, security controls, monitoring and alert operations, patching, automation, remote access, reporting, implementation, support, complete commercial terms, data portability, and a tested exit path. It should also state how each requirement will be demonstrated during a controlled pilot.
Is this RMM requirements template tied to Nizlo?
No. The downloadable Markdown file is vendor-neutral. Buyers can send the same questions and evidence requests to every shortlisted RMM vendor.
Should a small MSP use an RFP?
A small MSP may not need a formal procurement process, but a compact written requirements document prevents demos and quotes from being compared on different scope. Keep the template proportional, mark nonessential items as optional, and validate the highest-risk workflows on one endpoint.
How should RMM vendors be scored?
Score documented answers separately from demonstrated evidence. Weight security, tenant boundaries, endpoint identity, failure handling, support, complete cost, and removal according to your risk, then require a pilot result for every must-have workflow.
