Small MSP buying guide · 14 minute read
The best RMM for a small MSP is the one your team can prove.
There is no universal winner. The right shortlist changes with your fleet, service model, operating systems, technician count, integrations, and tolerance for complexity. Use a weighted scorecard and the same controlled pilot for every finalist.
Start with your operating model
A product can be excellent and still be the wrong fit. Choose the row that describes the next twelve months—not an imagined future MSP—and use it to decide which tradeoffs deserve the most weight.
First customers or fewer than 100 endpoints
Prioritize: Fast enrollment, clear customer separation, predictable entry cost, simple alert ownership, and a clean exit.
Watch: Do not buy years of platform breadth before the first technician can operate the basics consistently.
Windows-first MSP standardizing delivery
Prioritize: Reliable inventory, patch rings, scripts, remote support, technician roles, audit evidence, and pricing that survives growth.
Watch: Do not treat a long feature list as proof that the daily Windows workflow is fast or controlled.
Mixed Windows and Mac estate
Prioritize: Prove platform parity workflow by workflow and keep RMM, MDM, identity, security, and update authority explicit.
Watch: Do not assume one installed agent means equal management depth across operating systems.
PSA-led or suite-led MSP
Prioritize: Test customer, ticket, time, billing, documentation, alert, and asset handoffs as one operating loop.
Watch: Do not accept a bundle unless it removes real reconciliation work without weakening a critical system of record.

These are not universal rankings. Each comparison asks a different buying question using pricing structure, platform scope, operating-system coverage, and controlled-pilot fit.

Nizlo publishes this guide and is included below. This is a buyer-fit matrix, not an independent ranking. Commercial terms can change, so open the source-dated comparison and verify the vendor's current terms before buying.
| Product | Best shortlist fit | Commercial signal | Tradeoff to prove |
|---|---|---|---|
| Nizlo | Windows-first MSPs that want public flat pricing, unlimited RMM endpoints, and a no-card pilot | Core $59/month; Scale $79/month; one technician included | Earlier-stage product with less platform breadth and ecosystem depth than established vendors |
| Atera | Teams that want RMM and PSA functions in one per-technician subscription | Per-technician plans with published pricing | Compare included modules and complete seat cost with the workflows you will actually use |
| Syncro | Small MSPs that want integrated RMM, PSA, ticketing, and billing | Per-user pricing with unlimited endpoints | The all-in-one model may be unnecessary if your PSA and billing systems are already settled |
| NinjaOne | Teams prioritizing established cross-platform endpoint-management breadth | Quote-based, generally per-device | Obtain a fleet-specific quote and identify which modules are included before comparing totals |
| Level | MSPs that prefer a focused RMM with simple per-device economics | Published per-device pricing and a minimum device threshold | Model the minimum and future fleet size instead of comparing only the headline endpoint rate |
| Action1 | Teams whose first priority is Windows patching and vulnerability remediation | Free tier for the first 200 endpoints | Decide whether patching is the whole job or whether broader MSP operating workflows are required |
| Tactical RMM | Operators who deliberately want source access and self-hosted control | Software access differs from the cost of secure hosting and operation | Price infrastructure, maintenance, backups, upgrades, security response, and internal ownership |
| MSP360 RMM | Very small fleets comparing a permanent free entry point with paid per-endpoint growth | Free edition for up to 50 endpoints; paid per-endpoint options | Verify which RMM, remote-access, ticketing, and backup functions are included at each stage |
| Naverisk | MSPs that want RMM, Service Desk, PSA, data protection, and hosting choice in one established platform | Published starting price of $110 per month; confirm the exact included scope | Compare full-platform breadth and support against the cost and simplicity of retaining settled specialist tools |

Run a 14-day controlled pilot
- Use 5–15 authorized, noncritical endpoints that represent real customers, roles, locations, and Windows versions.
- Write pass, partial, and fail criteria before installing the first agent.
- Run the same inventory, alert, patch, script, remote-support, reporting, and removal tests in every finalist.
- Record technician minutes and exceptions instead of relying on demo impressions.
- Price today's fleet, the next credible fleet, and the cost of changing tools.
- Choose only after uninstalling the pilot and reconciling every device and retained record.
Six questions every finalist must answer
- 1Can a technician find the right customer and endpoint in seconds?
- 2Which important actions require another product, tier, module, or professional service?
- 3What breaks when a technician, endpoint, customer, or operating system is added?
- 4Can you prove who acted, what ran, what changed, and whether it succeeded?
- 5Can alerts be tuned into an owned queue instead of a stream of symptoms?
- 6Can the agent, credentials, schedules, integrations, and retained data be removed cleanly?
Small MSP RMM questions
Answers before you build the shortlist
What is the best RMM for a small MSP?
The best RMM is the one that fits the MSP's actual fleet, technician count, customer boundaries, operating systems, security requirements, and complete stack cost. Use the same controlled pilot and weighted scorecard for every finalist instead of choosing from feature count alone.
What should a small MSP look for in RMM software?
Prioritize reliable enrollment, customer and site separation, useful monitoring, controlled patching and automation, authorized remote support, technician roles, audit evidence, predictable pricing, and a clean removal path.
How many endpoints should an RMM pilot include?
A focused pilot can use 5 to 15 authorized, noncritical endpoints that represent the customers, roles, locations, and operating-system versions the MSP actually supports. Write pass and fail criteria before installing the first agent.
Is a free RMM always the cheapest option for a small MSP?
No. Compare the complete operating cost: endpoint and technician charges, required modules, minimums, implementation time, alert workload, integrations, support, contract terms, and switching cost. A zero-dollar license can still create expensive manual work.
Can a small MSP use one RMM for Windows and Mac?
Possibly, but platform support should be proved workflow by workflow. Test enrollment, inventory, monitoring, patching, scripts, remote support, security controls, and removal on both platforms rather than assuming that two available agents provide equal management depth.
